Facilities Supervisor
REPORTS TO: Executive Director
SUPERVISES: Maintenance / Custodial / Facilities Staff
POSITION SUMMARY: The Ocean Park Association, a small non-profit community organization in Ocean Park, Maine, seeks a skilled, enthusiastic and self-motivated individual to serve as Facilities Supervisor for the seventeen buildings that comprise the physical plant of the Association for its Chautauqua-inspired programming. This position is responsible for providing and overseeing the maintenance of all Association buildings, including the Temple complex, Library, Recreation Hall, Jakeman Hall, commercial properties, and rental units. Work involves the prioritization of repairs, construction, organization and preservation for Association buildings as well as overseeing set up for summer events. Responsibilities include planning and directing the work of skilled, semi-skilled, unskilled workers in the building trades and of volunteers, monitoring work progress for quality and timeliness within budgetary constraints.
RESPONSIBILITIES:
- Plans, assigns, coordinates, performs and monitors repairs to buildings and fixtures, general grounds maintenance, and janitorial and housekeeping tasks in order to ensure repairs and maintenance are accomplished and resources are properly utilized.
- Plans, coordinates, and supervises work projects in order to meet established standards and ensure appropriate prioritization of work.
- Develops, implements, and maintains a comprehensive inventory of buildings including complete history of repairs, and present and anticipated future needs in order to establish and document Association holdings and ensure accurate record-keeping.
- Reviews and evaluates needed repairs in order to determine the need for outside consultants and/or contractors.
- Initiates and oversees contracts with professional consultants and/or contractors in order to ensure necessary repairs are designed and accomplished in a timely manner.
- Reviews work of outside contractors in order to ensure completion which meets expectations of The Association.
- Ensures that facility requirements for programs and events are met, including equipment needs and room setup.
- Consults with the Ocean Park Realty office on the maintenance needs of OPA rental properties.
- Repairs / installs / consults with contractors for residential wiring, switches, receptacles, and lighting fixtures.
- Repairs / installs / consults with residential plumbing including sinks, traps, toilets.
- Assures building exteriors and interiors, including stairs and ramps are painted.
- Assures grounds around OPA buildings and parks are maintained
- Fills in for custodial duties as needed.
- Maintains work records as needed.
- Serve as staff liaison to the Property Committee.
- Other duties as assigned.
HOURS: Year round position (Number of hours IN SEASON (May-Oct.) and OFF SEASON (Nov.-April) will vary and we are open to negotiation / discussion)
QUALIFICATIONS: Knowledge of and skilled in the methods, practices, materials, and equipment associated with building and related mechanical trades. Knowledge of building maintenance. Ability to plan and oversee the execution of building maintenance, repair, and preservation. Ability to analyze and evaluate program and project performance and effectiveness. Ability to establish and maintain effective working relationships. Understanding of budgets and ability to work within a budget. Ability to communicate effectively orally and in writing. Understanding of and appreciation for The Ocean Park Association mission and program goals.
COMPENSATION: $25-$32/hour dependent upon experience.
It is highly desirable that the successful candidate have their own truck and tools.

Office Administrator
REPORTS TO: Executive Director
SUPERVISES: Office and Visitor Center Volunteers
POSITION SUMMARY: Assist the Executive Director, Facilities and Post Office Manager, and the Ocean Park Realty Broker with the day-to-day operations of the Ocean Park Association (OPA) and Ocean Park Realty (OPR). Under the direction of the Executive Director provide office support for OPA staff and OPR staff
RESPONSIBILITIES:
- Represent OPA and OPR professionally to the general public, both in person as the office receptionist and on the telephone.
- As directed by the Executive Director, maintain financial records completely and accurately including:
- Record cash receipts
- Prepare and make cash deposits (cash, checks, and credit cards)
- Verify that cash records are in agreement with deposits
- Enter detailed deposit information, including appropriate accounting information, into the QuickBooks accounting system
- Maintain hard copy deposit files
- Coordinate with Programming / Donor Relations Specialist to execute membership, fundraising and other mailings.
- Schedule and track OPA program building use and rentals for members and the general public, ensuring that all required rental and facilities forms are completed and maintained and establish an online repository
- Schedule and supervise the Summer Receptionist and office and visitor’s center volunteers.
- Manage sales of OPA memorabilia, CDs, books, tickets, wireless internet service, and other goods and services offered by OPA.
- Maintain an adequate inventory of office supplies.
- As directed by the Executive Director, maintain office files.
Perform other duties as assigned by the Executive Director.
QUALIFICATIONS: Experience in business and office functions. Ability to communicate effectively and tactfully in personal, written and electronic contexts. Ability to prioritize and implement directives in an efficient and effective manner. Proficiency with Google and Microsoft Office programs and database maintenance; familiarity with QuickBooks. Bookkeeping knowledge.
Part Time: 25-30 Hours/week
